Professional German

Formal register and the business email

  1. 1

Sie oder du? Register at work

Five ways to say “send me that”, the forms of Sie — and a first phone call in formal German.

    • Register rises with Sie, the Konjunktiv II (könnten, würden) and formal words (zusenden, durchführen).
    • Sie / Ihnen / Ihr — always capitalised; Ihr takes endings like mein: Ihre Nachricht.
    • Imperative with Sie: Nehmen Sie Platz.
    • Start with Sie; the senior person offers du: Wollen wir uns duzen?
    • On the phone: answer with your surname, say hier spricht …, and end with Auf Wiederhören.

    Sehr geehrte…: the business email

The five-part skeleton, the set phrases that carry it — and the small punctuation rules that give a non-native away.

    • Five parts: Betreff, Anrede, Einleitung, Hauptteil, Schluss.
    • Sehr geehrte Frau …, / Sehr geehrter Herr …, — then carry on with a small letter.
    • Mit freundlichen Grüßen — no comma, name on the next line.
    • Set phrases: anbei, wie besprochen, für Rückfragen stehe ich Ihnen gern zur Verfügung.
    • Sich freuen auf (looking forward) vs sich freuen über (pleased about).
    • Skip the translated Ich hoffe, diese Nachricht erreicht Sie wohl — get to the point.

    Das Vorstellungsgespräch: the job interview

The questions you'll be asked, the frames for answering them — and Marina's interview in Berlin-Mitte.

    • Expect Werdegang, Stärken und Schwächen, Warum wir?, Gehaltsvorstellungen — and Haben Sie noch Fragen an uns?
    • Ich würde sagen, … softens a claim about yourself.
    • Past experience in the Perfekt: In meiner letzten Position habe ich … gearbeitet.
    • Name a weakness, then what you're doing about it: Ich lerne gerade, … abzugeben.
    • Measured, modest, curious — and Sie with titles: Frau Dr. Bergmann.

Die Besprechung: meetings, deadlines — and the du

The vocabulary of meetings and deadlines, polite ways to speak up — and Marina's first team meeting.

    • Meeting words: die Tagesordnung (agenda), das Protokoll (minutes), die Frist (deadline), der Termin (appointment — never a school term).
    • verschieben — to postpone; absagen — to cancel; zusagen — to accept; Bescheid geben — to let someone know.
    • Speak up politely: Darf ich kurz etwas ergänzen? · Ich würde vorschlagen, dass wir … — verb at the end.
    • The Konjunktiv II keeps it courteous: Bis wann bräuchten Sie das?
    • When the du is offered — Wir sind hier alle per du — accept it and switch straight away.
